Student Office Assistant

General Purpose

The Office Assistant is a member of the Residence Life Department at the Maryland Institute College of Art. The Office Assistant (OA) shares the responsibility for implementing the basic goals of the Residence Life Department by promoting individual and community development, and serving as a liaison to the Director of Residence Life & Off-Campus Housing, Housing Operations Manager and Residential Coordinators. The OA reports directly to the Residence Life Housing Operations Manager and Director of Residence Life & Off-Campus Housing. The OA also serves as a resource for Residential Advisors (RAs) when it comes to administrative tasks (ex: marketing of programs).

Summary of Essential Functions

  • Assist Housing Operations Manager in administrative responsibilities (ex: Occupancy Checks) 

  • Manage phone calls at the the Residence Life front desk 

  • Complete appropriate paperwork assigned by Director of Residence Life & Off-Campus Housing, Housing Operations Manager and Residential Coordinators 

  • Collect, organize, and distribute Residence Life keys 

  • Enhance and update technology and social media platforms for the Office of Residence Life & Off-Campus Housing 

  • Receive, sort and distribute incoming mail at the Residence Life front desk 

  • Assist in the distribution and collection of keys 

  • Monitor incoming emails and answer or forward as required 

  • Prepare outgoing mail for distribution 

  • Fax, scan and copy documents 

  • Maintain office filing and storage systems 

  • Type documents, reports and correspondence 

  • Ensure office equipment is properly maintained and serviced 

  • Perform work related errands as requested, such as going to MICA Postal & Print 

  • Keep office area clean and tidy 

  • Collaborate with Housing Operations Manager to design and post flyers

Essential Duties & Responsibilities

  • Answer phone, answer questions, and transfer to the appropriate staff members when applicable 

  • Take and distribute accurate messages 

  • Greet MICA students, personnel, clients, parents and guests and direct them to the correct staff member 

  • Become acquainted with residents and establish good relationships 

  • Establish individual relationships with RAs 

  • Be aware of students’ attitudes and be sensitive to individual as well as community concerns 

  • Remain patient and direct parents to correct resources 

  • Encourage a sense of individual responsibility as well as consideration of others’ rights and freedoms 

  • Set positive examples in personal, academic and social behaviors

Knowledge, Skills, and Abilities

  • Assist Housing Operations Manager in planning other collaborative community related programs and activities, such as Housing Sign-Up and Roommate Matching Night 

  • Complete tasks and procedures assigned by Residential Coordinators 

  • Assist Residential Advisors in community development efforts and marketing strategies for programming 

  • Uphold and interpret to students the college and residence hall policies and regulations 

  • Set a positive example for other students in abiding by policies 

  • Encourage and develop an environment within the Residence Life office that enables residents and staff to accept responsibility for self-governance and behavior consistent with the objectives of MICA 

  • Support Residence Life strategic efforts designed to help acclimate students into the residential community through policy education; figure out engaging ways to help residents comply to policy via marketing

Minimum Qualifications

  • Education: OAs are full-time students and must be successful in their academic pursuits. If the OA position begins to interfere with academic performance, an OA may be asked to resign. An OA must be enrolled as a full-time student and take at least 12 credit hours and no more than 18 each semester, unless approved by the Housing Operations Manager.

  • Experience: Must have relevant experience.
