Student Organization Resources

Reserve Space & Equipment

Registered student organizations are able to reserve space for on-campus meetings and events through the Center for Student Engagement. Additionally, student organizations have access to the Center for Student Engagement equipment inventory.

Event & Equipment Request Form

In addition to reserving space and equipment, this form can also be used to notify CSE about an upcoming event hosted by your student organization.

Reserving Space

All requests for space should be submitted through the Event and Equipment Request Form. It is recommended that organizations submit this form 2-4 weeks in advance of their meetings or events.

CSE will process requests on a first-come, first-serve basis. Confirmations will be sent to the submitter once CSE receives approval from the Office of Events. This may take several business days. Please allow a minimum of 48 hours for a response. If there is a conflict, CSE will work with the organization to determine an alternative date, time, or location. Student organizations should not advertise their meetings or events until they have received confirmation that their reservation is approved.

Recurring Events

Recurring reservations are allowed (ex: weekly meetings), and can be noted within the request form. Please note that recurring reservations are only valid for the current semester. Organizations who wish to reserve a weekly meeting space should submit their request at the end of each semester for the following semester.

Meetings & Events in Non-Reserveable Spaces

For meeting or events that do not take place in on-campus locations that require reservations (ex: off-campus trip or excursion), organizations must still communicate dates and times to their advisor and/or the Assistant Director of Student Involvement. This allows CSE to maintain accurate records of student organization meetings and events, and ensure that organizations are adhering to their programming requirements per designated tier.

Performance Spaces

If a student organization wishes to reserve a performance space (Falvey Hall, ABOX, or BBOX), they must consult with their advisor prior to requesting the space. There is a fee associated with renting these spaces and organizations must ensure that they have appropriate funding to cover these costs.

Reserving Equipment

Student organizations can reserve equipment using the same Event & Equipment Request Form. Equipment reservations are reviewed and approved on a first come/first serve basis. Make sure to plan ahead if you need to use any equipment for an upcoming program or event. Once your equipment is confirmed, CSE will send an email to the contact person listed on the form to coordinate pick-up and drop-off. 

Equipment Usage Guidelines

  • At NO TIME should the equipment be taken off campus.
  • All events where the equipment is being used should be approved by the Center for Student Engagement.  
  • Accidents do happen, so please be honest and let a CSE staff member know if anything happened to the equipment during your use; we will know how to best handle the situation once we know the details. 
  • Pick-up and drop-off  can only occur during normal office hours (9 am - 5 pm, Monday-Friday). If accommodations need to be made, please make arrangements with a staff member.
  • The individual checking out equipment is responsible for the safe keeping and complete return of all items.
  • Student clubs/organization are financially responsible for certain supplies, ask a CSE staff member for more information. 
  • Equipment Request must be at least one week before the event.

Submitting a request does not guarantee equipment will be available. Requests meeting the above criteria for timing and event registration are accommodated on a first-come, first-served basis; requests that do not meet one (or both) of these criteria are accommodated thereafter.

Student organizations also have access to use MICA Fitness Center equipment. Equipment can be reserved by stopping by MICA Fitness or calling 410-225-4951.
